PI imports must be run in a specific sequence to ensure that all PI settings and data are applied correctly for new PI imports:
PI Data Collection Settings, PI Annual Target and PI Value imports can also be used to update existing PIs by adding new data or overwriting existing data.
To import PI data, Users must have the correct permissions and Ownerships to modify the relevant data type.
Local PI Import
The Local PI import creates the basic settings for new PIs and as such should be the first import run when creating new PIs.
There are six mandatory fields:
- Code - Short Text, 16 characters, must be unique in your application.
- Short Name - Short Text, 225 characters.
- Data Type - Drop Down, values: Percentage, Money, Number, Yes/No, Ratio, Date.
- Audited - Drop Down, Yes/No options.
- Days until Overdue - Number, number of days beyond the due date that the PI status is set to overdue.
- Start Date - Date Value, DD/MM/YY format, this controls when your collection periods start for this PI. Month and Day cannot be changed once data has been added.
Some fields are dependant on other settings:
- Show Numerator/Denominator - if a PI is set to Percentage or Ratio data type then this can be enabled to turn it into a numerator/denominator PI.
- Numerator Label/Denominator - if the above option is enabled, this allows you to set labels.
- Pentana Risk Formula - if a PI is a formula type this allows you to set the formula. Feeder PIs must come before formula PIs in the import sheet.
- Gauge Format type - if a PI is not set to Data-Only this field becomes mandatory and a gauge type must be set here.

Feeder and Formula PIs
If you are using the Local PI import template to add feeder and formula PIs, make sure you add the feeder PIs first in the list. PI Imports are processed row by row, so the Feeder settings must be imported before the formula entered here can be validated.
PI Data Collection Settings
Data collection settings are used to determine how and when data values are set.
There are eight mandatory fields:
- PI Code - Short Text, 16 characters, must match an existing PI.
- Time Type - Drop Down, values: Days, Weeks, Months, Quarters, Half years, Years
- Data Series Type - Drop Down, values: Main, Rolling Forecast, Rolling Forecast YTD, Numerator, Denominator, Year to Date, Half-Year to Date, Quarter to Date, Month to Date, Week to Date.
- Gauge Source - Drop Down, options Yes/No.
- Source - Drop Down, values: Manual Entry, External, Formula, Days, Weeks, Months, Quarters, Half years, Years.
- Display Type - Drop Down, values: Speedo, Thermometer, Traffic Light, Yes/ No, Date, Odometer
- Long Trend Period - Number.
- Target Source - Drop Down, values: Manual Entry, Use latest value, Directly copy the annual target, Distribute annual figure evenly, Accumulate towards annual target, Calculate from Num/Denom targets, Years, Half Years, Quarters, Months, Weeks, Days.

PI Annual Targets
The Annual Targets import is used to create Annual Targets which are used when your 'Target Source' is set to use the 'Annual' target type.
There are three mandatory fields on this import sheet:
- PI Code - Short Text, 16 characters, must match an existing PI.
- Year - Drop Down with financial year options.
- Target Type - Short Text, the name of your Annual Target type.
Both the PI Code and the Annual Target type must match data on your system at the time of import.
PI Values
The PI Values import allows you to add or overwrite PI data for existing PIs in your application. There are four mandatory fields on this import sheet:
- PI Code - Short Text, 16 characters, must match an existing PI.
- Year - Drop Down with financial year options.
- Period - Drop Down, with a list of period options for every collection type. See the online help for more information.
- Activated - Drop Down, Yes/No options. Use this to activate data.
If data is set in column that your PI is not configured to use (e.g. Numerator/Denominator columns if your PI is a number type) the data will not import.
PI Notes
The PI Notes import allows you to import PI notes against a data row. This import sheet has five mandatory columns:
- PI Code - Short Text, 16 characters, must match an existing PI.
- Year - Drop Down with financial year options.
- Period - Drop Down, with a list of period options for every collection type. See the online help for more information.
- Note Text - Long Text, unlimited length.
- Created By - Short Text, a valid User on the system, 'Surname, Firstname' format, only a single User can be set as a note author.
Note that the PI and data period must already exist on your site and the PI code and User must match exactly with the code you use.
